PRIVACY AT A GLANCE

Four principles customers should understand immediately.

The detailed policy below explains how these principles apply to repairs, online orders, accounts, stores and specialist data-recovery work.

Clear collection

Customers should know what information is needed and why it is being collected.

Controlled access

Customer, administration and inventory information should be separated by role and purpose.

Limited retention

Information should be retained only for operational, warranty, legal and security requirements.

Customer control

People can ask for access, correction, complaint handling and available preference changes.

Important production notice

This is a high-quality operational policy design, not a substitute for final legal review. Provider names, overseas locations, retention periods, privacy contact details and actual system behaviour must be confirmed before launch.

01
WHO THIS POLICY COVERS AND HOW TO USE IT

About this privacy centre

This privacy centre explains how FixPay Pty Ltd (trading as V0LT) intends to manage personal information across the website, customer accounts, online orders, repair bookings, store interactions and specialist services.

It is designed to be clear and layered: the summary explains the main principles, while the sections below provide the operational detail. The final production policy must match the systems, providers, locations and procedures actually used at launch.

Who does this policy apply to?

Customers, website visitors, account holders, business contacts, repair owners, job collectors and people who contact V0LT for support.

02
THE CATEGORIES OF INFORMATION USED TO PROVIDE SERVICES

Information we collect

We collect only the information reasonably needed to provide repairs, orders, accounts, support, security and business operations. The exact information depends on how you interact with V0LT.

Identity and contact

Name, email, mobile number, delivery or billing address and account identifiers.

Repair and device

Device model, serial or IMEI where needed, reported fault, condition, repair notes, images, approvals and collection records.

Orders and transactions

Products, quantities, fulfilment choice, invoice information, payment status, refunds and warranty history.

Account and communication

Login records, saved devices, estimates, preferences, messages, complaints and support history.

Website and technical

IP address, browser, device type, pages viewed, security logs and cookie or analytics choices.

Store and verification

Collection verification, authorised collector details and CCTV information where installed and appropriately notified.

Sensitive information

V0LT does not seek sensitive information unless it is reasonably necessary for a particular service and lawful to collect. Do not include unnecessary sensitive information in repair notes or contact forms.

03
DIRECT, AUTOMATED AND THIRD-PARTY COLLECTION

How information is collected

Information may be collected directly when you create an account, request an estimate, book a repair, place an order, visit a store, contact support, approve work or use the website.

  • From forms, account activity, invoices, repair check-in and communications.
  • Automatically through website security logs, cookies and analytics choices.
  • From payment, delivery, identity-verification or communication providers involved in the service.
  • From an authorised business contact, family member or collector acting for the customer.
Collection notice

Where practical, the customer should be told what information is being collected, why it is needed, what may happen if it is not provided, and where this policy can be found.

04
SERVICE DELIVERY, SECURITY AND LEGITIMATE OPERATIONS

Why information is used

Personal information is used or disclosed for purposes connected with the interaction or as otherwise permitted by law.

PURPOSETYPICAL INFORMATIONWHY IT IS NEEDED

Legal and recordsInvoices, warranties, communicationsMeet recordkeeping, consumer, tax and dispute obligations.
05
HOW INFORMATION ON A DEVICE IS TREATED DURING SERVICE

Device access and repair data

A repair may involve a device containing personal files, accounts, messages, photographs, business information or authentication tools. Technicians should only access information reasonably required to diagnose, test, repair or recover the device.

  • Customers should back up important information before service where possible.
  • A passcode may be requested when functional testing requires operating-system access.
  • A temporary passcode, restricted test account or supervised test may be suitable for some repairs.
  • Data-recovery work may require deeper access to storage and must follow the approved recovery scope.
  • Staff should not browse unrelated customer content.
No guarantee of data preservation

Hardware, software, storage and motherboard work can carry data risk. Repair approval and check-in information should clearly explain the importance of backups and any service-specific limitations.

06
SERVICE PROVIDERS AND PERMITTED DISCLOSURES

Who information may be shared with

Information may be disclosed only where needed to provide the service, operate the business, protect people or systems, or comply with law.

Payment providers

To authorise, settle, refund and protect transactions.

Delivery and logistics

To deliver orders, transfer stock or coordinate approved device transport.

Hosting and software

To operate the website, accounts, databases, communications and backups.

Repair suppliers or specialists

Where an approved job requires a part, technical escalation or specialist service.

Professional advisers

Legal, accounting, insurance or security support where reasonably required.

Authorities and dispute bodies

Where required or authorised by law, or necessary to address fraud, safety or a legal claim.

V0LT does not sell personal information to advertisers.

07
TRANSPARENCY WHERE INFORMATION MAY LEAVE AUSTRALIA

Overseas processing and cloud services

Some technology, hosting, communication, analytics, support or payment providers may process or store information outside Australia. Before launch, V0LT must identify the actual providers and, where practicable, the countries in which recipients are likely to be located.

Configuration required before production

This design does not invent overseas locations. The final policy should list likely countries based on the selected hosting, email, payment, analytics, customer-support and backup services.

08
HOW INFORMATION IS PROTECTED THROUGH ITS LIFECYCLE

Security, retention and deletion

Reasonable technical and organisational safeguards should be used according to the sensitivity, volume and purpose of the information.

01Collect

Obtain only what is needed.

02Protect

Access control, secure systems and staff procedures.

03Use

Limit access to the approved service purpose.

04Retain

Keep records only for operational and legal needs.

05Destroy

Delete, de-identify or securely dispose when no longer required.

  • Role-based access for customer, administration and inventory systems.
  • Strong authentication, secure sessions, logging and backups.
  • Controlled handling of customer devices and recovered data.
  • Retention schedules for repairs, orders, invoices, accounts, CCTV and recovered files.
  • Secure deletion or de-identification when information is no longer required.
09
HOW INDIVIDUALS CAN CONTROL THEIR INFORMATION

Access, correction and privacy choices

Individuals may request access to personal information held about them and ask for inaccurate, out-of-date, incomplete, irrelevant or misleading information to be corrected, subject to applicable exceptions and identity verification.

Access request

Ask for a copy or explanation of personal information linked to your identity.

Correction request

Ask to update incorrect contact, account, repair or order information.

Account or deletion enquiry

Ask about account closure, retention or deletion where legally and operationally available.

Identity verification

V0LT may request sufficient information to confirm identity before providing access, changing records or discussing a repair, order or account.

10
OPTIONAL WEBSITE AND COMMUNICATION CHOICES

Cookies, analytics and direct marketing

Essential technologies may be required for security, carts, checkout, account sessions and saved preferences. Optional analytics or marketing technologies should follow the choices shown in the Privacy Controls section below.

  • Essential functions remain active because the website cannot operate securely without them.
  • Analytics should be used to understand website performance and customer journeys.
  • Marketing communications should include a simple unsubscribe or opt-out method.
  • Tracking pixels and advertising tools should not be activated before the applicable notice and consent configuration is complete.
11
HOW SIGNIFICANT AUTOMATED DECISIONS ARE HANDLED

Automated decisions and AI

The current website design does not rely on a computer program to make a solely automated decision that significantly affects a customer’s rights or interests. Estimates may use rules and pricing data, but repair approval and final pricing remain subject to inspection and human confirmation.

Future systems

If V0LT introduces significant automated decision-making, the policy and customer notice should be updated to explain the personal information used and the kinds of decisions made.

12
WHAT HAPPENS WHEN INFORMATION MAY BE COMPROMISED

Data breaches and incident response

V0LT should maintain an incident-response process to contain, assess and remediate suspected data breaches. Where the Notifiable Data Breaches scheme applies and an eligible breach is likely to result in serious harm, affected individuals and the Office of the Australian Information Commissioner may need to be notified.

  • Contain the incident and protect affected systems or devices.
  • Assess what information was involved and who may be affected.
  • Take remedial action to reduce likely harm.
  • Notify where legally required and provide practical protective steps.
  • Review the cause and improve controls.
13
HOW CONCERNS ARE RECEIVED AND REVIEWED

Privacy questions and complaints

A privacy question, access request, correction request or complaint can be submitted through the privacy-request form on this page or the Contact page. Include enough detail to identify the interaction and explain the concern.

  • The request should be acknowledged and assigned a reference.
  • Identity may be verified before personal information is discussed.
  • The matter should be investigated by an appropriate person.
  • A response should explain the outcome and available next steps.

If a complaint is not resolved, the individual may be able to contact the Office of the Australian Information Commissioner.
